NORTH STAFFS ACCORDION CLUB

Organisational Responsibilities

President is directly responsible to the general membership for

agreeing the agenda and chairing the AGM;

maintaining an overview of all Club operations;

advising and arbitrating as necessary at Committee meetings (the President has no vote).


Management Committee is directly responsible to the general membership. All potentially contentious issues such as resignations from the Club or Committee, role changes, complaints, disciplinary matters, etc., must be dealt with by the committee.

The Committee usually has ten members who are normally responsible for the following key roles:

Secretary

Treasurer

Publications Secretary

Guest Bookings Secretary

Band Bookings Secretary

Publicity Officer

Auditor

Musical Director

Note: If a general member carries out one of the above roles, for example "Musical Director", this person may be co-opted onto the Committee as a non-voting member.


Chairman is responsible for overseeing the effective operation of the Management Committee and these responsibilities include:

chairing Committee meetings and progressing the agreed agenda (AGM excepted);

monitoring & progressing the actions agreed at Committee meetings;

where appropriate, providing other Committee members with guidance and support;

recommending new agenda items to the Secretary;

agreeing the Newsletter prior to distribution;

authorising the withdrawal of funds from the Club building society account (jointly with Treasurer);

organising and running Clubnites;

matters arising during day-to-day operations of the Club.


Secretary is directly responsible to the Committee for

holding the Constitution of the Club and maintaining it with changes passed at the AGM;

arranging the AGM;

requesting nominations for the election of President and Management Committee members from the general membership;

ensuring that the actions placed on the Committee at the AGM are properly progressed and responded to at the following AGM;

arranging and coordinating regular Committee meetings;

eliciting agenda items from other Committee members;

setting/prioritising the agenda for Committee meetings in consultation with the Chairman;

providing Committee members with a copy of the agenda;

keeping accurate minutes of all Committee meetings and providing other Committee members with a copy of these minutes (minutes to include all outstanding actions);

ensuring that the business of the Committee is conducted in accordance with the law, and the constitution of the Club;

maintaining a list of all items presented for agenda inclusion but not yet included;

maintaining records of all general correspondence of the Club.

being the person within the Club whose contact details are published for communication by other organisations or individuals.


Treasurer is directly responsible to the Committee for


collecting, counting and banking monies received by the Club;

providing the Secretary and Publications Secretary with a list of paid-up members;

paying bills;

maintaining accurate records of all financial transactions of the Club;

providing these records to the Committee on a regular monthly basis;

filing invoices and receipts;

preparing an annual budgetary forecast;

monitoring the budgetary forecast and advising the Committee if the budget is not being met;

monitoring and advising on the financial considerations associated with "special concerts" (Audley Theatre, Kidsgrove Town Hall; Keele Hall; etc);

authorising the withdrawal of funds from the building society account of the Club (jointly with the Chairman);

presenting a financial report at the AGM;

recommending new agenda items to the Secretary.


Publications Secretary is directly responsible to the Committee for

producing and publishing the Newsletter to Club members and interested national bodies such as magazines and websites;

maintaining the Club website;

producing posters and other publicity related documentation;

producing and distributing tickets for special events;

recommending new agenda items to the Secretary.


Guest Bookings Secretary is directly responsible to the Committee for

evaluating and selecting guest artistes for consideration by the Committee;

negotiating the appropriate fees and informing the Committee accordingly;

controlling the spend on guests within the approved budget and advising the Committee if additional funding is required;

making all the necessary arrangements when a guest artiste has been selected by the Committee;

thanking guest artistes after the event;

recommending new agenda items to the Secretary.


Publicity Officer is directly responsible to the Committee for

ensuring that the public in North Staffordshire and South Cheshire are made aware of the Club and the facilities it offers;

maximising Club membership and promoting an interest in the accordion;

maximising the publicity opportunities offered by the media;

initiating the production of posters and publicity material;

recommending new agenda items to the Secretary.


Auditor - The Committee is responsible for

auditing the financial records (these are presented to all Committee members on a monthly basis);

underwriting the statement presented to the AGM by the Treasurer.


Musical Director is directly responsible to the Committee for managing all Band operations. These operations include

selection and procurement of suitable Band music;

agreeing the Band's involvement in a specific concert or competition;

producing concert programmes;

selection of new Band members;

movement of players between sections;

Band discipline;

recommending new agenda items to the Secretary.


Band Bookings Secretary is directly responsible to the Musical Director and Committee for

liaison with clients and the Committee in connection with potential Band bookings;

determining the availability of Band members for potential Band bookings;

agreeing all Band booking with the Musical Director and informing clients and the Committee accordingly;

maintaining the bookings schedule (including the website calendar);

providing Band members with an up-to-date copy of the bookings schedule;

recommending new agenda items to the Secretary.


Music Librarian is directly responsible to the Musical Director for

maintaining the Band's library of music;

providing new Band members with a complete set of music;

assisting the Musical Director with the discovery and procurement of new Band music;

maintaining a record of concert programs.

 

Band Section Leaders are directly responsible to the Musical Director for

helping the other section members to improve their performance;

ensuring their section use the correct couplers;

managing section rehearsals;

representing their section at progress meetings with the Musical Director.
